2024 FAQ - How Assigned Housing Works:

First…this FAQ is subject to change each year in order to streamline the process and provide you firsthand information.

Each year we receive dozens of applications and questions regarding housing and how assignments work. This is a quick FAQ about what happens, when it happens and the basic process once we’ve received your application.

We accept applications year round. Twice a year we have (2) groups of incoming medical residents & medical students, during the months of April 1 (students) & July 1 (residents & students).

This information pertains to both (ALL) April 1 and July 1 medical student housing applicants;
April 1 and July 1 are target dates and we realize that some will need to be in place either before those target dates. For example, your application may say June 16th. If you are assigned housing then we will work to try to get you in by that date.  Be aware of course that your occupy date is based on the current tenants vacate date. We will continuously keep you posted with more details the closer we get to your respective move in date.

For those starting April 1st, we try to make assignments on or before FEBRUARY 1, 2024.

For those starting July 1st, we try to make assignments on or before April 15, 2024.

We would encourage everyone to PLEASE read this FAQ. The FAQ can answer questions you may have with regards to:

  • Workflow
  • Assignments
  • Clarifications & Typical Housing Questions.

Additionally, under [Rental Rates & Sample Lease] click on Sample Lease – Please review

Please ask questions after reviewing the lease, and prior to signing the lease. If you need any clarifications prior to lease signing, please ask.

About us:

  • The Charleston Medical Center Housing Corporation (CMCHC) owns and operates (120) apartments.
  • Charleston Area Medical Center (CAMC) owns and operates approximately (35) residential houses around and near the Memorial Campus.

Workflow:

Keeping you well informed is the ultimate goal so that you can make informed decisions.

All applications and housing requests are initially processed by and through the CMCHC office.

The CMCHC office manages two things:

  1.  All (CMCHC) apartment assignments.
  2.  All (CAMC) residential house assignments.

After assignments are made you will be notified of your assignment based on your applications housing choices.

  • If you were assigned a CMCHC apartment then you will be emailed all the details and what to do next.
  • If you were assigned a CAMC residential house then you will put you in contact with that manger who will answer all your residential house questions going forward.

Assignments:

You will be notified:

  1. What assignment you were awarded (Matched) or,
  2. That you did not get housing (Not Matched).

Not matched means that sometimes, due to fewer students vacating, that we simply ran out of housing due to high demand and limited availability (vacancies). (Not Matched) students go on a waiting list. Sometimes, after assignments are made, we have cancellations. Students on the waiting list will get notified immediately of an opening and given the opportunity to accept or not. If they pass, then the next student on the waiting list gets notified. Normally during this (Not Matched) process, I will text or call the students on the waiting list, as opposed to email, simply because it is a much more expedient way to contact you.

If you did Not Match, when at all possible, we can/will try to find you housing near the Memorial Campus via an outside landlord, should this be something you desire.

Clarifications:

  • 1st clarification, Rental rates. The rental rate; for example a (2) bedroom is for the whole apartment or house, NOT per person.
  • 2nd clarification, rooming with another student of your choice is absolutely permitted. It’s a good way to share expenses. The rent is per apartment, not per student. If you elect to share with another medical student then both students need to submit an application. Only one of the students (you choose) will need to sign the lease. We need to know if sharing with a roommate is your desire. If so, simply notating anywhere on both applications each other’s name.
  • 3rd clarification, If you chose and were awarded for example a (4) bedroom house, then the house is yours alone to occupy as you see fit. We do not assign students to the individual bedrooms in that house. That misconception should not be confused with the transient housing as per our website. You are not a transient, you will be here to live. We do not schedule multiple students in the same dwelling. We do not choose roommates for you.
